1 - Lock computer when leaving
Make sure that you lock the computer with the key combinations <Ctrl> + <Alt> + <Del> when leaving your workplace. In this way you avoid that people who might pass by your workplace or are looking for something, cannot read internal or personal data.
2 - Do not leave any documents open
Please be careful not to leave any personal data open on your desk. In this way you avoid that people who might pass by your workplace or are looking for something, cannot read internal or personal data.
3 - Do not save any personal data locally
Technical devices do not always work correctly. To ensure that you can always access your personal data, never save them locally (directly on the computer) but on the server. This ensures that the data is available to you, even if your laptop / PC is no longer functional.
4 - Avoid printing out personal data
Printed data can easily be lost. In addition, these can easily get into the hands of third parties. Therefore, avoid printing out personal data as far as possible.
5 - Disposal in accordance with data protection regulations
Ensure that your data that is no longer required (in paper form or files) is disposed of in accordance with data protection regulations using suitable document shredders or special companies.
6 - Avoid providing unnecessary information
Avoid providing unnecessary information about yourself or other people on the phone or by e-mail. It is never certain where these are stored and where they are forwarded to.
7 - Be careful when sharing the screen
Make sure no sensitive data is visible when sharing your screen on team calls.
8 - Check your surroundings
Always keep an eye on your surroundings when you are working. Make sure that any unknown persons, e.g. at the airport or in cafés, cannot watch you at work and thus see sensitive or personal data.
9 - Always check if the sender is known to you
Before opening e-mails or attachments, always check whether the address of the sender is known to you or whether it appears legitimate. Different characters or numbers in the email address and nicknames are considered dubious. Also, when opening links, always carefully check the source (link).
10 - When in doubt - ask!
If you are unsure about data protection in certain work sequences, please contact your local data protection officer or your IT department. You can find a list of local contacts for the subject of data protection on this page.
